Privacy Policy

Last updated March 1, 2026. This policy explains how the Woody Folsom website handles information. It is written for patients, families, and readers of our health journal.

1. Our promise

Health information is intimate. Woody Folsom treats privacy as part of care, not as a footer afterthought. We collect only what we need to answer you, schedule care, run membership plans, and improve the clarity of this website. We do not sell personal information. We do not trade mailing lists with advertisers. We do not allow a third party to use our patient relationships as a product.

This policy describes the public website at woodyfolsomvidalia.com. Clinical records created during actual care may be governed by additional notices given at a visit. If you become a patient, ask for that notice. It will describe records, not just web pages. Where the two documents differ, the clinical notice governs the medical record and this policy governs the website.

2. Who we are

Woody Folsom provides healthcare education, appointment requests, and membership information through this site. For privacy questions, email hello@woodyfolsomvidalia.com with the subject "Privacy". Please do not include a full medical history in the first email. Tell us how to reach you and what you want done. We will reply in ordinary care hours.

3. Information you give us

You may choose to send:

  • Identity and contact details, such as your name and email address, on the contact, subscribe, unsubscribe, or comment forms.
  • Appointment details, such as a phone number, a medical record number you already use, a preferred date and time, a department, a reason for the visit, and an optional clinician name.
  • Membership interests, such as the plan you ask about.
  • The content of a message or comment, which may accidentally include health details if you type them.
  • Technical details your browser sends when it requests a page, such as a general device type and the page address.

Please send the minimum. A scheduling form needs enough to match you with a team. It does not need a complete narrative of your illness. Save that narrative for the visit, where it can be heard in context and stored in the proper record.

4. Forms on this website

The forms on this website check required fields, email format, phone length, dates, and confirmation boxes inside your browser. They are client-side forms. They do not, by themselves, open a medical record or transmit a chart to a hospital system. When a form is complete, the page shows a confirmation so you know the entries were accepted by the page.

If you need a human reply, use hello@woodyfolsomvidalia.com or wait for the follow-up our team sends when a request is being handled operationally. Do not assume a clinician has read a browser-only confirmation. Do not use any form for emergencies.

You are responsible for the device you use. A shared computer, a work email account, or a phone notification can expose a message to someone else. Use a private email address if the subject is sensitive, and sign out of shared devices.

5. Health information

Some messages will include health information because that is the nature of a medical website. We treat those details as confidential. Staff who handle scheduling are trained to use them only to arrange care, to confirm identity, and to protect safety. They are not a license for curiosity.

We ask you not to include information about another adult unless you are authorized. For a child, include only what a parent or legal guardian would share to arrange pediatric care. Do not send photographs of the body through the public website. If a clinician needs a photo, they will tell you the secure route to use.

Genetic information, detailed mental health histories, and substance-use details deserve extra care. If you mention them in a first message, keep the note short and expect the deeper conversation to happen in a visit.

6. How we use information

We use information to:

  • Respond to appointment, contact, and membership requests.
  • Send the health notes you subscribed to, and to stop them when you unsubscribe.
  • Understand which guides are useful, in aggregate, so we can write clearer education.
  • Protect the site and our patients from misuse, impersonation, and spam.
  • Meet record-keeping duties that apply to clinical operations once you are actually in care.
  • Improve accessibility and the structure of pages.

We do not use patient stories for advertising testimonials unless the person has agreed in writing and understands they can withdraw future use. Stories already printed with permission may remain in printed archives even after a withdrawal, but we will stop new uses.

7. Email notes and the unsubscribe path

The subscribe form and the footer field collect an email address and, on the full subscribe page, a name and topic interests. We use that list only for Woody Folsom notes about prevention, clinics, and journal updates. You can unsubscribe on the unsubscribe page or by emailing hello@woodyfolsomvidalia.com with the subject "Unsubscribe". We aim to honor a clear request promptly. A final administrative note confirming removal may still arrive.

Unsubscribing from journal notes does not cancel an appointment and does not close a clinical relationship. Those are separate requests. Tell us which one you mean.

8. Cookies and local storage

This static website does not require an account and does not set advertising cookies. Your browser may keep ordinary technical logs of the pages you request. If we later add a preference, such as remembering a text-size choice, we will describe it here before it stores anything beyond the current page. Share links leave our site and are then governed by the service you opened.

You can control cookies in your browser settings. Blocking them should not stop you from reading the journal or completing a form, because the form logic runs on the page itself.

9. Who we share information with

We share information only when there is a reason tied to care, operations, or the law:

  • With clinicians and staff who need it to schedule or deliver care.
  • With a laboratory, imaging team, or therapist when you have agreed to that referral, or when coordination is part of the care you asked for.
  • With a vendor who hosts email or technical infrastructure, under a duty to use the data only on our instructions.
  • With emergency services or a person at risk when we believe it is necessary to prevent serious harm.
  • When a law, court, or regulator requires it, and only to the extent required.
  • With your written permission, for any other purpose.

We do not sell personal information. We do not allow marketing companies to mine appointment forms. If ownership of Woody Folsom ever changed, patients would be told, and this promise about not selling personal information would be part of that conversation.

10. International readers

The website can be read from many places. If you send information from outside the place where our clinicians work, you understand that the message will be handled where we operate and where our email tools are hosted. Protections described here travel with the message to the extent we control the tools. We do not claim that every local rule in every country is identical. If you need a right that your local law guarantees, email us and we will explain how to exercise it.

11. Retention

Scheduling and contact correspondence is kept only as long as needed to complete the request, to document what was agreed, and to meet the retention periods that apply to health operations. Journal comments, if published, stay with the article until we remove them. Subscription records are kept until you unsubscribe and for a short administrative period afterward so we can prove the removal. Server logs, if any are created by our host, follow the host's ordinary short cycle.

When information is no longer needed, we delete it or de-identify it so it cannot reasonably be linked back to you. Backup systems may hold a copy until the backup expires. We do not use expired backups as a working database.

12. Security

No website can promise perfect security. We limit access to staff who need it, we prefer private channels for clinical detail, and we ask you not to send sensitive photographs through public forms. You can help by using a unique password on your email account, by keeping your devices updated, and by being cautious with links that pretend to be Woody Folsom. We will only contact you from addresses you can recognize, and we will not ask you to pay a fee by sending a code to a stranger.

If we learn of a breach that creates a real risk to people whose information we hold, we will notify affected people and any authority the law requires, without unnecessary delay.

13. Children

The website is not directed at children as a marketing audience. Parents and guardians may use it to learn and to request pediatric care. We do not knowingly collect personal information directly from a child through a form. If you believe a child sent personal information without a guardian, email us and we will delete it from any website mailbox we control.

Adolescent confidentiality is handled in the clinical setting, not on this public policy page, because the right balance depends on the young person's age, the service, and the laws that apply. Clinicians will explain that balance at the visit.

14. Your choices and requests

You may ask us to:

  • Tell you what contact information we hold from a website request.
  • Correct a name, email, or phone number that is wrong.
  • Delete a subscription or a comment.
  • Limit how a story is used in future materials.
  • Receive a copy of a web inquiry you sent, if we still have it.

Email hello@woodyfolsomvidalia.com. We may need to confirm that you are the person the information is about, or that person's guardian, before we act. We will not ask for more documents than necessary. Some clinical records cannot be deleted when the law requires us to keep them. If we cannot do what you asked, we will explain why.

You may also object to a use that is not required for care. We will consider the objection and tell you the outcome. Choosing not to provide information may mean we cannot schedule a particular request. Reading the journal never requires an account.

15. Links and embedded media

Pages include photographs used to illustrate care and everyday health. Share icons point to external services. When you follow them, you leave our policy and enter another. We do not control those sites and we are not responsible for their cookies or their content. Review their policies before you post health information there. We discourage posting personal medical details on public social networks.

16. Changes to this policy

We will update this policy when our website practices change. The date at the top will move with the change. If a change is significant, we will place a short note on the home page or the contact page for a period of time. The version you can read here is the version that applies to new website use. Clinical notices already given to patients remain part of their record.

17. How to reach us

Privacy questions, correction requests, and subscription removals go to hello@woodyfolsomvidalia.com. Write in ordinary language. If you are writing about a visit as well as the website, put both topics in the message so the right teams see them. For medical emergencies, contact local emergency services rather than this mailbox.
